1 – Teaching Centre Resources Assistant

Role Purpose
To provide admin support and maintain an appropriate working environment for teaching centre staff which is safe, comfortable, attractive, and conductive to efficiency which makes a positive statement about British Council to BC teachers and students.
Function Overview
British Council Egypt opened in 1938 and is the largest in the British Council’s MENA (Middle East and North Africa) region. It is high priority country for the organisation with an annual turnover of GPB15m from teaching, examinations and grant/partnership funded projects and programmes.
It receives over 1,700 customers a week on its premises in Agouza, Heliopolis and Alexandria and makes contact with a further 50,000 through off-site venues. The majority of these customers are teaching centre students and examination candidates. British Council Egypt currently has a staff of over 270, almost half of which are teaching staff.

Main Opportunities
To support the delivery of all teaching centre services by the implementation of agreed tasks such as resources and facilities management, including classrooms, stores and the teaching centre, providing necessary facilitation to teachers, communication with teachers on their resources needs and communication with BC candidates and course students on their issues, management of teaching centre stores of stationery and other teaching materials, in addition to providing support and covering other colleagues responsibilities as and when needed.
Main Accountabilities
Resources Management
Provide a monthly and whenever requested an accurate inventory for all our custody items
Teachers’ resources (books/references/media) are organized, recorded, and stored appropriately
Teachers’ resources are prepared on request according to corporate standards
Cupboards are always secure
Signing out system for resources and classroom accessories is kept up to date and materials not returned are followed up within a day
Receipt of all resources from teachers at the end of academic term
Provide clearance for leaving teachers ensuring that all items in their custody is returned and as necessary report to HR & Finance on any unreturned items
Identify outdated resources and take the necessary steps to donate/dispose them in accordance with the BC policies
Update system and database maintained to manage resources
Facility Management
Teachers’ room is always tidy and vacant tables are clear, lockers and pigeonholes are secure and allocated
Broken equipment is reported within one day and followed up
New teachers are provided with lockers and pigeonholes within two working days
Assistance for Teachers
Liaise with Customer Services Assistant in collecting information from registers for CS students at specific times during the term
Print certificates and deliver to teachers before last week of term
To provide administrative support for delivery of Teacher Development activity
Be the first level of maintenance and troubleshooting of IT problems in classes then and liaise with IT technician the technical problems.
Provide teaching materials upon request
Provide assistance with classrooms or resources
Communication
Refer other TC enquiries to appropriate staff
Provide orientation of staff room and resources to new teachers on request
Telephone is answered as per CSS
TC Resources Order & Store Maintenance
Stationery stock is replenished as necessary
New resources received are checked against order on arrival
Keep stores in good order, store all items appropriately
Maintain inventory records
Other Duties
To provide cover and support for colleagues as to ensure that the Teaching Centre Resources Team operates flexibly and efficiently
Carry out other tasks relevant to the above core areas assigned by the TC Resources Officer
Qualification & Experience
Bachelor Degree in relevant field
Fluency in spoken & written English is essential
At least 1-2 years work experience in customer service, administration or supply chain
Post Graduate Degree at Logistics or Resources management related knowledge areas is desirable
PMP and/or Six Sigma Black Belt certified is desirable
Other important features and requirements of the job:
Resources Assistant should be prepared to work varied hours.
The Resources Team operates 7 days a week, from morning to evening 8:00am – 11:30pm. The job holder will be working on a rotational schedule.
The postholder will work on a 5 days/week, including Friday and Saturday, on shift basis and is entitled to 2 days off, in some cases nonconsecutive days off.
Shift schedule is subject to change, and flexibility in adjusting hours of work is essential when there is an operational need to do so.

Job Overview
The Teaching Centres in Egypt run myClass, the British Council’s unique product. In addition, we have Beginner level courses: eight Adult terms of 5 weeks each through the year, and IELTS preparation. Teachers are contracted to teach 25 contact hours per week – including breaks taken during each class. The timetable means that most teachers teach either over 5 days each week or 4 days with 1 (non-teaching) work day. YL classes run on Thursdays, Fridays and Saturdays.

Young Learner courses are delivered across all three life stages – Early Years, Primary and Secondary. Early Years classes are currently delivered in our Agouza and Heliopolis centres. The training team is rapidly becoming the hub of training in the MENA region and operates both internal and external training courses. Our Teacher Support Programme provides a structured induction programme to newly qualified teachers, and enables more experienced teachers to develop their training and mentoring skills.
Main Accountabilities:
Plan, prepare and deliver up to 25 hours of high-quality English Teaching hat meets the needs of different customer groups taking into account individual learning styles.
Monitor progress and provide regular feedback to help manage students’ performance throughout the course, and actively promote learner autonomy
Contribute to the development, evaluation, and improvement of English language courses, materials and related services, in order to meet students’ needs by actively working as a member of the teaching team
Complete teaching related administrative tasks to specified standards.
Actively engage in professional development and performance management to ensure quality and high standards in teaching and learning and maintain British Council’s position at the forefront of best ELT practices.

An additional payment of £315 is paid monthly into a UK bank account.
Fares & Travel
Airfares on transfer Economy class for member of staff, accompanying partner and children from previous post or from the UK. Return airfares to the UK on completion of the contract where the member of staff is not going to another British Council post. The British Council pays for visas, work permits, medical examination and vaccinations required for employment.
Baggage allowance
Baggage allowance of up to £1,200 for single employees or up to £2,000 for employees accompanied by family members at the beginning and on successful completion of your employment with the Council in Egypt. This allowance is accountable.
Allowances payable to Egyptian passport holders and to those for whom Egypt is a home base (local contract)
Deductions from salary for Egyptian nationals
In accordance with applicable laws, the British Council will deduct from monthly salary the contributions at the appropriate rate payable to the National Social Insurance Authority of the Arab Republic of Egypt. New contribution salary ceilings (basic and variable) are declared by the Egyptian National Social Insurance Authority on July 01 each year and are communicated to staff upon receipt thereof. The current deduction rates are:
Employee’s share: 14% on basic salary, and 11% on variable salary
Employer’s share: 26% on basic salary and 24% on variable salary

Duration: 2 years
Annual Leave Allowance: 35 days per annum paid leave plus public holidays (currently 14 days)
Medical Allowance: You and accompanying members of your family will be registered with the British Council’s Group Medical Insurance. The scheme is administered by Allianz. The scheme covers medical and hospital treatment, repatriation costs, personal liability and other items.
Settling-in allowance: A settling-in allowance of equivalent 2 weeks local salary (unaccompanied) and 3 weeks local salary (accompanied) to help meet initial expenses on first arrival in Egypt. You may also receive up to two weeks’ hotel accommodation if permanent accommodation is not available on first arrival.
Any Other Allowances: British Council pays for visas, work permits, vaccinations required for employment.

Role Purpose
To provide the IT support to BC staff in Egypt offices, and to ensure that the IT services meet business operation’s needs, corporate standards and service level agreements.
Function Overview
Be prepared to work unsocial or varied hours in order to ensure high standards and appropriate customer service, flexible working hours.
The British Council operates 7 days a week, morning to evening. The job holder will be expected to work in some evenings according to schedule.
The postholder will work on a 5-day week shift basis and is entitled to 2 days off (not necessarily Fri -Sat), in some cases non consecutive days off.

Main Accountabilities:
IT services and Support
Supervise regular checks on IT services (e.g. LAN/WAN connectivity, Internet, IP telephony, video/teleconference, Queuing system, reception screens, email, global applications)
Coordinate with service providers of Internet, telephone system, and support contracts.
Work closely with IT assistants to ensure all computers/servers/peripherals are functioning, and the help desk support is properly provided.
Handle regular communication with all staff for service outage, changes, phonebook update
Inventory System
Supervise stores in/out processes, and updates on user custody sheets.
Make sure that the inventory sheets are consistent with stores logs, and user custody sheets.
Prepare the sale list and ensure that sold items are removed from the inventory list.
Provide regular reports on inventory, consumables, “need repair” list, and spares.
Maintain and update lists of software licenses.
Procurement
Ensure that the procured IT equipment meets the standard specification.
Adhere to the procurement policy and ensure that all procurements of goods and services are to be based on value for money.
Supervise testing newly procured IT hardware and software.
Manages contracts with vendors.
Global Service Desk ‘’GSD’’, and Service-Now
Checking the Service-Now queue, in order to resolve and/or dispatch incidents to IT assistants.
Handle incidents, service requests, and change requests that need HUB intervetion.
Make sure day-to-day incidents are handled as per GIS service level agreement and local IT support protocol.
Teaching Center support
Supervise the dedicated IT support provided the Teaching Center according to a shift-based schedule.
Manage regular check on IT facilities in teacher’s room, and classrooms.
Team Leadership
Manage a group of IT assistants, and provide guidance for better performance, time management, customer care, and technical support.
Follow up on the queues of incidents, and tasks assigned to the IT assistants.
Act as a technical focal point for users and IT assistants.
Manage IT assistants Rota, leaves, and overtime.
Compliance
Make sure that the Council’s IT policies and standards are adhered to.
Apply British Council policies and standards to tasks related to IT security, disposal of IT equipment, Health&Safty, software licenses, antivirus updates, usage of IT services, data backup/restore, business continuity plan, and people management.
Ensure that only British Council approved and licensed Software, hardware is located on the IT infrastructure with regular audits to ensure that users (Front office and Back office) retain system conformance.
Coordination with Information Governance team for data security and risk & compliance.
Qualification & Experience
Essential Requirements:
Bachelor Degree in relevant field
Fluency in English and Arabic
MCSA/MCSE 2008 Certification
At least 3 years experience working in IT
Proven experience in team management
Proven knowledge of Network Infrastructure
Proven knowledge of Windows server administration
