Administrative Assistant, University Center for Career Development (UCCD), Grant Position
About the job
Reports to: Manager, Finance and Administration

Purpose: The job holder is responsible for providing a wide range of administrative functions and office support for the project team to facilitate an efficient operation. S/he will primarily be accountable for the proper, timely documentation and filing for the entire operation of 22 universities and 30 centers under the 37M University Center for Career Development project funded by US Agency for International Development (USAID). The position reports to the manager of finance and administration, with a dotted line to the director of finance and administration.

Principal Accountabilities:

Manage the filing system and documentation for 22 universities, 30 University Center for Career Developments and 210 UCCD staff members including university agreements, staff hiring and performance evaluation documents for USAID review and data quality assessment purposes
Manage all finance and administrative filing system including more than 16 training programs’ documents in electronic and hard copy filing and preparing to upload on TEAMS under supervision for 15,000 – 20,000 beneficiaries per year
Review files in collaboration with Monitoring and Evaluation team (M & E) for smooth USAID Data quality assessment purposes
Receive and review beneficiaries’ certificates of completion from training partners and dispatch to relevant UCCD centers
Process accurate and timely entry of all 16+ University Center for Career Development training programs’ data in USAID Teams
Ensure proper book-keeping in hard and soft copies of purchasing receipts, reimbursements and maintenance of office equipment, furniture, supplies and more
Compile custody forms of all Universities’ UCCDs and AUC’s project office equipment and furniture
Manage inventory control of all assets throughout the 30 UCCDs and AUC’s project office
Manage the logistics and ensure availability of the required material for UCCD internal and external events and trainings in collaboration with University Center for Career Development team
Liaise with the mail office and external mailing service providers for dispatching and receiving mail
Perform general administrative duties related to printing and duplication of documents
Provide document control and determining points of clearance and coordination
Develop and maintain an electronic tracking system for all the incoming and outgoing business correspondence
Receive, review and route as relevant incoming correspondence and/or official and unofficial documentation to appropriate team members
Manage front office operations including answering telephone and greeting guests
Ensure phones are answered, messages are routed, and responses are drafted
Support University Center for Career Development team by performing tasks related to organization and support functions
Ensure efficient operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment
Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
Perform other related duties as required
Requirements:

Minimum Education Requirement:

Bachelor degree in a relevant field
Experience:

Minimum three to five years of administrative experience

Skills:

Excellent interpersonal and organizational skills
Effective verbal and written communications skills
Excellent computer skills and knowledge of relevant software (Excel and Word)
Strong command of Arabic and English (both oral and written)
Time management skills
Accurate and detail oriented
Proven multi-tasking capacity
Ability to liaise among various stakeholders
